We’re looking for a proactive Executive Associate who loves wearing multiple hats and thrives in a dynamic, fast-growing environment.This is a hybrid role blending Office Management, Admin, HR, Finance and Ops perfect for someone who enjoys variety, takes ownership, and isn’t afraid to get their hands dirty to make things run smoothly.
As an Executive Associate you will:
- Office management: keep our Vilnius HQ running smooth, from ordering snacks and coffee, to coordinating with cleaning services, to making sure the office is a space people want to work in.
- Support hiring and onboarding: help us bring in amazing people and make them feel at home.
- Assist with finance tasks such as invoice tracking, expense reporting, and budget follow-ups.
- Be the go-to person for team admin needs: HR docs, benefits coordination, and internal comms.
- Coordinate cross-team initiatives and help leaders stay on top of priorities.
- Spot problems before they happen and take ownership in fixing them.
What you’ll do:
- Keep Vilnius HQ running smoothly – office supplies, equipment, cleaning, snacks, and everything in between
- Own the full employee lifecycle: job postings, onboarding new hires, and offboarding when the time comes
- Support leadership with calendars, coordination, and whatever lands on their desk
- Handle finance operations: invoices, expenses, payroll coordination, and vendor management
- Take care of legal and compliance tasks – insurance, trademarks, contracts, shareholder docs
- Run internal culture initiatives: Town Halls, team buildings, eNPS, anniversary milestones
- Manage the tools and systems that keep us organized – Notion, Slack, Google Workspace, and more
What we’re looking for:
- Experience across admin, HR, finance, or ops – you don’t need all of it, but a mix is key
- Excellent communication in English and Lithuanian
- Proactive problem solver who can work independently and isn’t afraid to suggest improvements
- Strong organizational and time management skills – you love a good checklist
- Comfortable switching between detail work and big-picture thinking
- At home in tools like Notion, Slack, and Google Workspace
